There’s never been a better time to get sporty at Huddersfield!

This year we’ve massively reduced the cost of joining Sports Clubs while you’re studying.  For a one-off payment of £40 you’ll get a Hud Uni Sport Membership – that’s a flat rate that lets you try out as many or as few sports as you want.  Your Hud Uni Sport Membership fee goes directly to your Students’ Union, where we can channel this back into funding great activities for your clubs.

You’ll need to pay a bit extra on top of your membership fee if you’d like to join a club with a paid coach.  This will be an additional £20 on top of your Hud Uni Sport Membership, bringing your total to £60.

Your membership can allow you to join a variety of teams and even compete against other universities.  Fixtures are on a Wednesday afternoon!

So whether you fancy Fencing or Thai Boxing, Gymnastics or American Football, there really is something for everyone – that’s affordable for everyone too.

Sports Club and Society Terms and Conditions

When you enrolled at the University of Huddersfield you opted into our services, which allows you to obtain a Sports Club or Society Membership. In order for us to provide you with the best experience we will process your data for carefully considered, specific and legitimate purposes which are in the interest of delivering our services and enhancing your experiences as a member of Huddersfield Students’ Union.

Sports Club and Society memberships can be bought at any time throughout the academic year, with all annual memberships expiring at the end of the academic year (31st July). For Societies the total membership cost will ensure your society membership until this date, and may cover for example the use of facilities, equipment, and trip and transport costs. However, this is subject to each groups budget.

To join a Sports Club, you are only expected to pay one instalment of £40 to access any club. This money is paid directly into the Students’ Union and goes straight back into funding club activities. Anyone who has paid this sports fee is also eligible to play for any BUCS team. If a student would like to join a sports club that has a paid coach, there will be an additional coaching fee that needs paying. More information on this can be found HERE

Every membership will have a 50p transaction fee implemented by our website provider. The 50p will be added on to every membership price and you will pay it when you buy your membership, (for example, a society membership may be £10 for the year, but will appear as £10.50 with the transaction fee added).

Eligibility:
You must be a current student at the University of Huddersfield to be eligible to join student groups. Students’ Union membership is completely free and you can choose to join or leave at any time through your University enrolment.  Other eligible parties (for example alumni) will need to purchase a Lifetime Membership before they can join Sports Clubs and Societies. Membership Contract:
When you click to submit your registration online, you are making a legally binding contract. Following online registration, you will receive an email confirmation of membership. A legally binding contract is formed on the date this email is sent to your registered email address.

These terms and conditions form the basis of the contract through which the University of Huddersfield Students’ Union (HSU, we or us) will deliver our services to you as a HSU member (you). By joining this Sports Club or Society you are agreeing to these terms and conditions and you are providing us with the appropriate consent to handle your personal information in accordance with the General Data Processing Regulations.

If you are not happy with your Sports Club or Society Membership please speak to a member of the activities tram or contact activities@hud.ac.uk to discuss your dissatisfaction. We may be able to resolve the issue for you or, if necessary, provide you with a refund on your membership.

Data Processing:
Huddersfield Students’ Union is the Data Controller and the Data Processor of any personal data you supply. The personal data you supply will be aligned against the record of members provided by the University at enrolment and together this data will be used to process your student group membership. As a member of Huddersfield Students’ Union your data will be used for communicating matters of legitimate interest, statistical and analytical purposes and to administer your membership as is necessary for the performance of this contract.

Your personal information will be shared with the activity group that you are a member of, or express interest in joining at events such as the Fresher’s fair or the Re-Fresher’s fair. If you believe that your data has been used incorrectly please contact a member of the activities department or activities@hud.ac.uk immediately to report this.

You will receive communications containing information that is critical to your membership as well as additional information from University of Huddersfield Students’ Union where you have indicated agreement to this. If you provide us with your email address or SMS number, then we may send information which may be of interest such as our Activities Newsletter via e-mail. Opt-out functions are provided in each communication.

Members of sports clubs are entitled to access discounted gym membership with Team Hud. To enable this, you will need to show your sports club purchase confirmation e-mail and name to authorise the discount. Members of sports clubs may also be associated with National Governing Bodies. Where the sports clubs have identified affiliation needs Huddersfield Students’ Union will provide basic registration information to these governing bodies.

Professional Conduct
By proceeding with your membership you are confirming that, as a member of Huddersfield Students’ Union and a member of one of our Sports Clubs or Societies, that you will be committed to maintaining an inclusive and safe environment for all students. You are expected to treat all fellow members and potential members with respect and unacceptable behaviour will not be tolerated. If you witness or feel you have anything to report with regards to this please contact a member of our activities team or activities@hud.ac.uk.

Variation

We may change these terms and conditions at any time, if we do so we will give you 14 days’ written notice prior to any changes. The most recent edition of these terms and conditions will be binding upon you and members may exit the contract without penalty if they do not accept any proposed variation.



FOR COMMITTEE MEMBERS
Professional Conduct
By proceeding with your membership you are confirming that, as a member of Huddersfield Students’ Union and a committee member of your Sports Club or Society, you will be committed to developing an inclusive and safe environment for all students. As a committee member you are expected to lead by example, encourage a safe space for all members and potential members, and treat all fellow students with respect.

Huddersfield Students’ Union has a duty to ensure that all members can participate in all student activities in a safe, non-threatening and enjoyable environment. Huddersfield Students’ Union expects all members to ensure that the consumption of alcohol in and around events is managed appropriately and responsibly. Social events should act as a team building exercise where new activity group members can meet and socialise with other members. It is an individual’s choice whether or not to attend any social event, however every member should have an equal chance to get involved in every social event and it should each committee member’s objective to make sure all members have an enjoyable time.

No member should be forced or pressured into doing anything that they do not want to do. “Initiation” ceremonies or similar are regarded by Huddersfield Students’ Union as being dangerous and degrading exercises that jeopardises the safety of members. It is every committee member’s responsibility to ensure the welfare of all members and Huddersfield Students’ Union does NOT condone initiation ceremonies both on and off campus.
*Definition: An initiation ceremony is an event in which members (often new members) of the club are expected to perform a task or tasks as a means of gaining credibility, status or entry within that club. This may involve peer pressure (though not explicitly) exerted on students, and may compromise a person’s inherent dignity as a person by forcing or requiring an individual to drink alcohol, eat mixtures of various food stuffs, nudity and behaviour that may be deemed humiliating

Breaches of this policy will result in the Huddersfield Students’ Union disciplinary procedure. If you need to report an incident please get in touch with a member of the activities team or activities@hud.ac.uk immediately.


Eligibility
You must be a full member of the Students’ Union, and a current student at the University of Huddersfield, to have a committee member position. Alumni, affiliates or lifetime members cannot hold a committee position.

Data Processing
You will receive communications from the Students’ Union regarding matters of legitimate interest or information that is critical to your role as a committee member.

As a committee member you will able to request certain data from the Students’ Union, such as the names and contact information of individuals who have purchased memberships to join your Society or Sports Club, or, who have expressed an interest in joining your Society or Sports Clubs at the Fresher’s and Re-Fresher’s fair. Once you have completed ‘website training’ as part of your committee training you will also have access to this data directly via the website. This data should only be used for its intended purpose, and be destroyed once it has fulfilled that purpose. Committee members should not keep hold of data that is not needed, or keep data in a place that is insecure.

No data should be shared with any third party, sponsor or organisation without the consent of the Students’ Union.

Digital copies of any data you obtain need to be password protected, and should only be accessed by you and you fellow society or sports club committee members. Paper copies should be also kept locked away for example in a locker or locked drawer. When the data you have is no longer needed the document should be properly destroyed, paper copies can be brought back to us and shredded by the Students’ Union, and digital copies need to be properly deleted from whatever device they were accessed from (this includes deleted from any deleted items or ‘trash’ folder).

If you need to collect additional data, prior to that data being collected all students’ must give their consent to their data being used, and must have a concrete idea of what their data is going to be used for. If you are approached by an external party, for example a sponsor, you are not allowed to pass on any personal data of your members unless you have written consent from each individual member.

In some cases, we may pass on names to various external organisations if you are driving a hire car or you require a coach for a trip. If you have any problems or concerns with this please contact a member of the activities department or activities@hud.ac.uk.
